Patent Administrator
Job location: This is a remote position. You can work from home and be located anywhere in Ottawa OR Toronto, Canada. If you are located in Ottawa, please note we work in a hybrid environment where you will be expected to be in office 3 days per week.
About the team
The Intellectual Property Administrator, as a proficient-level professional with well-defined experiences, provides day to day administrative and operational support to the Legal department, and specifically to the Patent Agent Lead, and contributes to the coordination and execution of a comprehensive patent program.
What you will do
- Generate dockets for all deadlines, including renewals, OA responses, priority claims, and miscellaneous actions, for all patents and patent applications in Canada, the US, and other international jurisdictions
- Partner with the Patent Agent Lead to deeply understand the objectives and behaviours that drive the patent program strategy
- Partner with stakeholders within the Product organization to coordinate an inventor compensation and recognition program
- Support the content coordination and roll-out of IP video training program and other training initiatives as they arise
- Support inventors as the first line of support for administrative needs and questions
- Leverage technical savvy to participate in the selection and implementation of an IP database management system, and maintain and update the Rowan Pat invention management portal
- Maintain and ensure an up-to-date filing
- Obtain all required signatures from inventors and the Chief Legal Officer for declarations and assignments for patents
- Coordinate with external legal, including sending applications and instructions for prosecution and renewals
- Prepare and deliver deadline and filing reports on a weekly and monthly cadence, and support the legal team with other ad-hoc reporting requirements
- and ensure that required licenses for IP software products and maintained and updated annually
- Be the main point of contact and support the Finance team with patent-related invoices (excluding trademarks)
What we are looking for
- Post-secondary education in Administration, or equivalent experience
- 4+ years of experience in a legal operations or administrative function at a patent focused law firm or in-house patent legal department
- Demonstrates analytical and problem-solving skills, with a high sense of urgency and an inventive approach to work through ambiguity and complex issues
- Highly adaptable and able to pivot based on prioritization and needs of the business
- Agile and resilient in managing multiple projects against deadlines with multiple sources of information
- Ability to build rapport and gain support and trust from business stakeholders.
- A clear, concise, and professional communicator with the ability to present information and demonstrate knowledge to stakeholders at varying levels within the business
Role Specific Skills
- Fully proficient in the Microsoft Office Suite and in particular Excel
- Experience with legal software and tools including IP Management systems, filing systems, IP Databases; experience with Rowan Pat and Anaqua is an asset
- Familiarity with U.S. & Canadian Patent Office/ PCT filing practices and procedures
- Experience streamlining operations to create efficiencies
