Manager, HR Systems

Job location: This is a remote position. You can work from home and be located anywhere in Canada. If you are located in Ottawa, Canada, please note we work in a hybrid environment where the expectation is to be in the office 4 days per week.

About the team

The Manager, HR Systems, as a seasoned professional with extensive experience, is responsible for making continuous improvements to HR Systems Support strategies and processes and for leading the work that ensures the highest level of experience as it relates to HR systems, tools, and platforms.

The incumbent leads a team of HRIS and HR Systems professionals and will drive the HR Tech Roadmap and strategy to support our growth with a focus on exceptional employee experience. The Manager, HR Systems, collaborates with HR, Corporate IT and stakeholders across the business to oversee the design and implementation of global HR systems solutions in-line with our HR Tech Roadmap.

What you will do

  • Champion the HR Tech Roadmap to drive and enable global HR Digital transformation.
  • Provide leadership, coaching, guidance, and development to the team that is responsible for the efficient and effective maintenance and development of HR Systems including configuration, updates, enhancements, integrations, new module implementations.
  • Seek input from stakeholders across the business to understand specific challenges and desired business outcomes; Implement practices including business process assessment, technical feasibility support, and solutions that meet those needs and outcomes.
  • Lead all projects to ensure HR tech remains current and aligned with organizational needs.
  • Ensure that policies and practices are in place that support the effective resolution of issues, including SLAs, ticketing, and reporting processes to deliver an exceptional end user experience.
  • Responsible for overseeing, recommending, and making decisions about procuring and implementing new HR systems to support Kinaxis end users and business operations.
  • Responsible for ensuring that new systems, services, and processes, are tested and aligned to business goals, and that findings are documented.
  • Work closely with HR teams to understand and streamline HR processes through automation and efficiency improvements by leveraging systems features and solutions.
  • Build trusting relationships with vendors and support partners, to optimize system performance, including managing vendor relationships, contracts, and service level agreements (SLAs).
  • Prepare team members and business stakeholders for change; Lead change management activities and support the business through implementation of new practices using effective communication and frequent updates.
  • Develop and document standard operating procedures (SOPs) for HRIS processes and other systems.
  • Ensure that internal controls are established and followed to maintain data integrity, security, and compliance by conducting periodic internal audits to verify adherence to SOPs and controls.

What we are looking for

  • Post-secondary education with a focus on Computer Science, Information Systems, Human Resources or similar, or demonstrated equivalent experience.
  • 5+ years industry experience with 3+ years hands-on experience leading an HR Systems function within a fast-paced global organization, high-tech preferred.
  • Advanced project management, analytical, problem solving, and critical thinking skills with the ability to coordinate input from multiple sources to develop impactful recommendations to achieve results for the business.
  • Highly adaptable and able to pivot based on prioritization and needs of the business; proactively solicits and delivers feedback to ensure alignment. 
  • Agile and resilient in managing multiple projects and team members under tight timelines.
  • An articulate and professionally industry skilled communicator with the ability to provide clear, concise messaging (verbal and written) to multiple audiences and platforms and present information in a way that engages audiences of all levels.

Role Specific Skills and Qualifications

  • Experience in implementing enterprise-wide HR digital initiatives, in a complex global organization from the early to mid-stages of their HR digital transformation.
  • Experience in anticipating and evaluating the requests of end-users, anticipating needs, providing solutions, and recommending alternative solutions to achieve results.
  • Experience implementing solutions and services that provide support to business users in a timely, accurate, and scalable way, and that meet the needs of the organization.
  • Expertise in working with ticketing and self-service platforms such as ServiceNow.
  • Advanced experience working with cloud HCM systems preferably SuccessFactors and other HR systems and platforms like Applicant Tracking System, E-filing, Benefits and R&R platforms etc.
  • High level knowledge of industry standard related tools/technology, functionality, administration, security requirements, reporting, integrations, training, and support models.
  • Expert understanding and application of HR Systems Support Model and project management methodologies, practices, tools, and techniques.
